Events on MyVIA

This guide applies to all event creators at VIA and shows how to create an event on MyVIA.

6 quick answers for event creators

1. Why do we need an event calendar at MyVIA?

To provide you and your students with an overview of social, student political, and academic activities and events taking place at your campus.

The event solution aims to support a positive study environment and foster stronger communities on VIA's campuses. 

2. What is your job as an event creator?

Your responsibility is to consistently create events on MyVIA on behalf of the association/council/committee you represent. Additionally, you should update already created events if any changes occur.  

Events should be created with specified details such as time, place, description, target group, organizer, event type, image etc.

3. What do I do if our event requires registration and payment?

If your event necessitates registration and possibly involves personal payments you must create your event using Safeticket. MyVIA guides you to Safeticket when creating events with registration and payment.  

VIA has partnered with Safeticket for handling registrations and payments.

Please note that signing up for events requires a VIA email. External registrations must be organized elsewhere.

4. What kind of events can I create on MyVIA?

There is room for both social and professional events in the event calendar.

However, the event calendar is only for events organised by VIA and not for events organised by external organisations. If you still have an external event that you would like to have listed on MitVIA or MyVIA, you can always create it on the bulletin board.

5. Can I also create events elsewhere?

The answer is no. Events must only be created on MyVIA. Creating events on Facebook or any other event system is not allowed. To ensure that the event overview on MyVIA accurately reflects campus activities it is crucial that all activities and events are created exclusively on MyVIA. 

6. I'm not sure if I can manage being an event creator

That's completely understandable - especially if you haven't tried it before. However, we believe in you! We are working to make it easy to create arrangements and events. You'll also have access to a step-by-step guide for learning.

Events without registration and/or payment

How to create events without registration and/or payment
  1. Log on to MyVIA
  1. Go to 'events' in the upper right corner
  1. Click on 'Create event'

Enter information about your event 

  1. Give your event a short and precise title.
  1. Upload a good quality image for your event. The format of the image must be 1920x720 px. - See how to crop images to the format requirements.
    • Which images can I use? In general, all images (including those on Google) are covered by copyright law. It is punishable by law to use other people's images without permission - even if the images are freely available on Google, a website or on social media. It is therefore better to find an image on one of the platforms that offer royalty-free images such as: pixabay, freeimages, unsplash, pexels or similar.
  1. Specify where your event will be held - e.g., "Ceres CafĂ© at Campus Aarhus C" 
  1. Select the date and start time. When and at what time does the event take place?
  1. Choose the organiser of the event. If you can't find a relevant organiser you should contact your local campus partner.
  1. Add a detailed description of your event. You can insert plain text, create links and add images.
  1. Set filters. Select target group, location and category. Your choices determine when your event will appear when filtering is applied in the event overview.
  • You can select one or more target groups (programmes).
  • You must select one location which indicates the address where the event takes place.
  • You can only select one category.
  1. Click on 'create event'. Always remember to check your event for errors once you have created it.

How to create events with registration and/or payment
  1. Log on to MyVIA
  1. Go to 'events' in the upper right corner
  1. Click on 'Create event'

You are now landing on the create event page.

1. Mark that your event requires registration and/or payment.

You will be redirected to Safeticket where you create your event in their form.

2. Insert your event's Safeticket ID and select 'Validate ID'. Your content from the event in Safeticket will now be pulled into the MyVIA Event form.

3. Set filters. Select target group, location and category. Your choices determine when your event will appear when filtering is applied in the event overview.

  • You can select one or more target groups (programme).
  • You must select one location, which indicates the address where the event will take place.
  • You can only select one category.

4. Click on 'create event'. Always remember to check your event for errors once you have created it.
